About the position

The role is expected to supervise daily support operations and create & review administrative procedures.

Key Responsibilities

  • Develop, review and improve administrative systems, policies and procedures;
  • Complete operational support requirements by overseeing the scheduling and assignment of support personnel;
  • Administer requirements and monitors all official business lines and office lease contracts;
  • Monitor and handle all concerns (i.e. as applicable: purchasing, repairs, insurance, etc.) pertaining to company assets such as vehicle, non-IT work equipment, etc.;
  • Monitor inventory manages and controls purchase of office supplies;
  • Handle coordination, booking, payment and monitoring of all travel related requirements;
  • Provide logistical support to all Human Resources activities;
  • Evaluate and negotiate office lease contract for Head Office;
  • Coordinate with Property Management or Building Administrator for facilities concerns;
  • Coordinate and oversee facilities services and maintenance;
  • Manage office renovations and works with Department leads on work area assignments;
  • Prepare, monitor and control departmental budget;
  • Oversee facilities services and maintenance activities in the Vena Energy office and staff houses;
  • Monitor costs and expenses to assist in budget preparation; and
  • Evaluate and provide feedback on administrative services and personnel.

Education

  • Graduate of Business or any related four-year course

Experience

  • With at least 8 years’ experience in office administration
  • Facilities management experience is a plus
